A data backup is a copy of data archived off a computer or organization system to an external location in case of system failure or data loss. A data backup is the most essential process in a computer for any computer user.
There are two sore reasons why you should consider creating a data backup. These are in fact the reasons why a data backup is created in the first place.
The main being to recover your data in case of data loss. This is because 90% of the people who backup their data do it to avoid facing a data loss again. The secondary reason why people backup their data is to restore their computers or systems to a previous state of the computer on a previous data.
Why we backup data on our computers.
Those are the main reasons why you should consider creating a data backup for your computer or organization system. Any data backup in a computer is a data storage. It can be music, videos, programs, company data, or even your OS system data.
And to store data on your computer, the two main reasons for which we back up data still apply in this case.
Everyone who own a computer has ever faced a data loss at some point. According to Wikipedia, from a survey they conducted in 2008, 66% of respondents had lost data in their home PC. And mostly the data-in question-understood by most users was the important data in a computer. For example program files, personal work, and other expensive data.
However, if the question was rephrased to how many people have accidentally deleted their data, had their data corrupted due to various computer issues, or perhaps how many have lost their data due to hard drive failure, I am sure there would be a more than 90% complaint.
I am triple sure you have lost your data somehow too.
How do people lose their data?
There are several ways through which people lose their data on their computers. The most annoying being self-caused data loss. You can either accidentally delete your data by deleting a specific folder with an important file in it, or while multi selecting several files to delete.
In short there endless possibilities for accidental user based data loss.
Here are other causes of data loss in a computer or organization system.
- File deletion
Like I said there are a million possible ways for which you can lose your data by accidental deletion.
There is actually no procedure towards safeguarding your data from accidental delete. Sometimes you may be very careful in handling your data, then another computer user accidentally deletes your data. Especially those who use public computers.
- Drive formatting.
This is the worst nightmare for any computer user. Especially those with no understanding whatsoever on how to recover their data using data recovery software.
I have faced this problem once.
I once formatted my hard disk by mistake. Luckily I had created a data backup on my external hard disk. This way a smart move I had once made before. However, my computer would not boot because my hard disk was empty.
I therefore had to install windows a fresh on my computer which could only be possible if only I created BOOTABLE windows installation disk from my USB.
Therefore, I took my USB drive to another computer, downloaded a software to create a bootable USB, and plugged in my Removable disk.
In the program I did remember to check the device for which I had selected to create a bootable disk out of. Accidentally, I had commanded the program to create a windows bootable disk off my external hard drive, since they were both plugged into the same computer.
Soon, my external hard disk became unavailable, when its icon returned on my windows explorer, it occurred that I had no permission to view the data in it, since it was either corrupt or damaged.
Due to panic, I immediately restarted the computer. When the computer restarted, the state of the hard disk did not improve.
After searching and researching for the problem, I realized that I had accidentally commanded the program to create my hard disk as the bootable device. And I while the hard disk was returning an error every time I tried to open it, turns out the program was formatting it.
I had restarted my computer while it in the process of formatting the drive.
And just like that I had formatted the drive where I had created my backup data on. I hope this never happens to you. It is very frustrating.
My lesson is accidental data delete or drive formatting is has no prevention. The only you can do is make sure that you read every instruction in your computer before you perform a major computer operation.
- Drive failure.
The number 1 recommended precaution in case of a hard disk failure, is to back up your data immediately! Because there may be chances that your device may fail to work again, and you may be forced to purchase another drive.
However, what is the need of rushing during the last minute to try and safeguard your data, why not backup early, in case of such events.
- Data corruption.
Sometimes due to device failure, or even user data interruption your data can end up being corrupted. It is very difficult for data to be corrupted if it stored on an external drive.
- Computer or system failure.
A computer crash, or system failure can also be a cause of data loss, especially if you would be forced to reinstall your OS to repair your computer.
This can lead to deletion of the data on your computer, a data backup can therefore end up being a salvation tactic in case of these kind of problems.
· Restore your computer to a previous state.
In every game that you play, you are prompted to save your data progress in order for you to continue from the same position the next time you logon. Otherwise you would be forced to restart the game all over again.
The same kind of advantage lies behind the creation of data backup. You can be able to restore your computer to a previous state which existed at a time before. If for example you update your system’s important drivers, you can create a system image for restoring your computer to this date’s configuration.
It is also important in restoring of applications downloaded and installed from Microsoft website. Since the applications are downloaded and installed directly from the Microsoft website, it can be hard for a user to restore such if the data is lost. Therefore, creating a data backup of your system can help you reacquire your application, by restoring your computer backup, which would have therefore been impossible to reacquire.
How to backup data.
This is actually a broader topic than you may think. It can be divided into two forms:
- Forms of data backup.
- Guide through data backup using software.
1. Forms of data backup.
There are two categories of data backup; offline data backup and online data backup.
Offline data backup.
Offline data backup is the data backup created on offline platforms like your computer and external storage devices. These are offline data backup since you can be able to access your data backup without getting online.
In order for you to create offline data backup you would be required to have several tools for data backup.
- A computer
- An external storage device
- A data backup software. Only.
With these tools you can be able to back up your data safely and efficiently.
Here are some examples of data backup tools available

- A computer.
- Internet access.
- A registered account in an online platforms.
Make sure to input a password that you can be able to remember easily.
2. Guide through the data backup process.
Creating a data backup is an easy process, which can however be complicated for some users, therefore it would be wise for me to create some free guides to help you backup your data online using this online platforms and offline software.
